Overview

This Privacy Policy describes how Wombill (“we”, “us”) collects and handles personal information when you use our website and invoicing platform at wombill.com (the “Service”).

We are based in Australia. This policy is a practical summary, not legal advice. We may publish a fuller policy later.

Information we collect

We collect information you provide and data generated when you use the Service, including:

  • Account details (such as name and email) when you sign in via our authentication provider.
  • Business profile information (such as business name, ABN, GST settings, address, logo, and contact email).
  • Client and document data you enter (client names, emails, addresses, quote and invoice line items, notes, and payment terms).
  • Voice recordings when you use Voice quote (a paid-plan feature), including audio captured in your browser. Transcripts generated during processing are sent to our AI providers but are not saved on the quote unless you copy them into notes yourself.
  • Files you upload (for example, a business logo).
  • Billing and subscription status when you subscribe to a paid plan.
  • Technical and usage data (such as IP address, browser type, and error logs) needed to operate and secure the Service.

How we use information

We use personal information to provide and improve the Service, authenticate users, generate and deliver quotes and invoices, transcribe and parse voice input when you use Voice quote, process subscriptions, send transactional emails, prevent abuse, and comply with law.

We do not sell your personal information.

Service providers

We use trusted third parties that process data on our behalf. They only receive what they need to perform their function:

  • Clerk — authentication and account management.
  • Stripe — subscription billing and optional payment collection for your invoices.
  • Vercel — hosting, private file storage (including voice recordings), and performance analytics.
  • OpenAI — speech-to-text transcription when you use Voice quote.
  • Anthropic — AI parsing of voice transcripts into structured quote data when you use Voice quote.
  • Resend — transactional email delivery.
  • Sentry — error monitoring.
  • Axiom — application logging.

When you send a quote or invoice, we may provide a link that allows anyone with the link to view that document. Do not share links with people you do not intend to see the content.

Overseas disclosure

Some service providers may store or process data outside Australia (for example, in the United States). Where we disclose personal information overseas, we take reasonable steps to ensure appropriate handling consistent with Australian privacy law.

AI and voice features

Voice quote is available on paid plans. When you use it, you record audio in your browser describing a job and pricing. That audio is uploaded to our private file storage (Vercel Blob), sent to OpenAI for transcription, and the transcript is sent to Anthropic to suggest line items, client name, notes, and payment terms.

You review and edit the suggested line items on the quote form before saving. AI output is assistive only; you are responsible for checking amounts, GST treatment, and all document content before sending anything to a client.

If you save a quote created from voice input, we store the voice recording privately with that quote for up to 90 days to operate the feature, prevent abuse, and improve reliability (including internal debugging). Recordings are not shown in the app, not included on shareable quote links, and are not available to your clients.

Standard quote and invoice creation without Voice quote uses only the information you enter in forms and does not send audio to AI providers.

Retention and deletion

We keep personal information while your account is active and for a reasonable period afterwards for backups, billing records, and legal obligations. Voice recordings linked to voice-created quotes are kept for up to 90 days from when the quote was created, or until the quote is deleted—whichever comes first. We may delete them sooner as part of account closure or a valid deletion request. You may request deletion of your account and associated data by contacting us; some records may be retained where required by law.

Your rights

Under the Privacy Act 1988 (Cth) and Australian Privacy Principles, you may request access to or correction of personal information we hold about you. You may also complain to the Office of the Australian Information Commissioner (oaic.gov.au).

Security

We use reasonable technical and organisational measures to protect personal information. No online service can guarantee absolute security.

Cookies and analytics

We use cookies and similar technologies where needed for authentication and security. We may use privacy-friendly analytics to understand how the site is used.

We may update this policy from time to time. We will post the revised version on this page and update the “Last updated” date.
